Brown County Vacations Rental Policies

1. Accommodations: Rental units are privately owned homes. Some units have locked closets or areas where owners keep their personal items. Tampering these locked areas will result in additional charge to the guest’s credit card. We make every effort to accurately describe the rental units. BCV will not be held responsible for printing errors, changes made by owners, or matters out of BCV’s control. This includes weather, noise, etc. Any complaints about accommodations must be made in writing before you check out for consideration by the Property Manager.
   
2. Cancellations: Cancellation of a confirmed reservation must be done by the reserving guest and not a representative. Reservations must be cancelled no later than 7 days prior to the scheduled arrival time. The cancellation fee is 10% of the total booking. Late cancellations or guests who do not show up for check-in will not receive a refund.

3. Check-In and Check-Out:  Check-in time is 4:00 p.m. and check-out time is 11:00 a.m. the date of departure.

4. Cleaning: All of our tourist home rental units are well maintained and cleaned to the highest standards for your comfort and enjoyment. The fee for normal cleaning service is charged in addition to the rental fee. Cleaning charges vary depending on the size of the unit. Email or call us for the cleaning charges for the unit you are interested in. In order to insure there is no additional cleaning charge, guests are requested to please wash and put away all dishes, strip the beds and gather and properly bag all trash before checking out. Excessive messes or damage will result in additional charges to the guest’s credit card.

5. Forms of Payment: Cash, money orders, cashier’s checks, personal checks, MasterCard and Visa are accepted. All personal checks returned because of insufficient funds or account closed will be charged an additional $25.00 and the guest’s reservation will be cancelled immediately. All funds must be paid in U.S. currency.

6. Lock-Out Policy: In the event the guest is locked out of the rental unit during the rental period, the guest may borrow a key by coming to our office. After hours the guest must call and leave a message. A BCV representative will meet the guest at the office. There will be a $20.00 fee for this service and a $30.00 fee will be charged if the key must be delivered.

7. Maintenance/ Refunds: All equipment in each unit should be in proper working order.  Guests are requested to please report any inoperative equipment to BCV immediately upon its discovery. BCV will make every reasonable effort to correct the problem. Refunds will not be made for the loss of utilities, or failure of the hot tub, air conditioning, heating unit, dishwasher, washer, dryer, TV, VCR, blender, toaster, or other appliances.  There will be no refunds for inclement weather.

8. Occupancy: The number of guests occupying a unit is limited to the number registered at check-in.  These limits are strictly enforced. All homes are limited to families, couples, and adults at least 24 years of age. Exceeding the specified occupancy constitutes a breach in the lease agreement and will lead to immediate termination without refund of the rental agreement.

9. BCV Office Hours:
8:00 a.m.- 5:00 p.m. Monday- Thursday
8:00 a.m. - 6:00 p.m. Friday -Saturday
10:00 a.m. - 4 p.m. on Sunday

Phones are answered after hours.

10. Personal Property: BCV will not be responsible for personal items left behind by guests. If items are recovered at the rental unit and held by BCV for guests, the guests must either make arrangements with BCV to retrieve them or send a prepaid envelope or package for their return.BCV will not send items COD.

11. Pets: BCV does not allow any pets in or on the premises except in units that are designated pet friendly. Violations of this policy that become known to BCV during a guest’s stay will result in immediate eviction without refund. If signs a guest has kept a pet at a rental unit are found after the guest has checked out, an additional charge will be billed to the guest’s credit card. Exception: Indiana laws on service animals are followed.

12. Smoking: Smoking is allowed at some units. If smoking is allowed, guests are requested not to dispose of smoking materials, such as cigarette butts, on the ground, in the yard, or in fireplaces. Evidence of smoking in non-smoking units will result in a $250.00 additional charge to the guest’s credit card.

13. Reservations: There is a two night minimum required for reservations. Guests may make reservations by calling BCV or they may make reservations online on our website, www.browncountyvacationrentals.com. Guest will be charged for the first night at the time of the reservation with the balance due upon arrival. The balance will be charged to the guest’s credit card, if it is on file at the time of arrival, or it may be paid by cash or personal check at that time. Reservations will only accepted up to one year in advance.

14. Security/Damage Deposits: A credit card number must be placed on file before check-in. The guest’s credit card will be charged for additional expenses caused by guests, such a damage to the rental unit or its contents, excessive cleaning, lost or unreturned keys, late check-outs, unwarranted service calls and thefts. In the event of a dispute over additional charges, BCV reserves the right to pursue collection from guests using all lawful means, up to and including filing a claim in the Circuit Court of Brown County, Indiana. The guest will be responsible for all reasonable costs and expenses of collection, including any filing and attorney fees.

15. Substitution/Non-Availability:  In the event that a confirmed unit reserved by a guest becomes unavailable for any reason beyond the control of BCV, BCV will notify the guest immediately (prior to check-in, if possible). Every attempt will be made to accommodate the guest with a comparable unit. If there is a difference in rate the difference will be paid by the guest or refunded to the guest, as applicable. Under such circumstances, guests may also receive a full refund upon request.

16. Telephones: Telephone lines are required in all of BCV’s rental units. However, no long distance service is available. Guests wishing to make long distance calls will need to use a calling card, credit card or personal cell phone.

17.  Furnishings: Each unit is furnished by its owner. Furnishings and amenities vary as a result. Units include bed linens, pillows, towels and wash cloths, dishes, and pots and pans. Pools, hot tubs, whirlpool tubs and other special amenities are inspected and maintained regularly, but in the event that any special amenity is not operable or otherwise unavailable for the use of guests, no refunds will be given.

18. Fair Housing: BCV conducts business without respect to race, color, religion, sex, national origin, handicap or family status.

19. Items to Bring:  Here is a list of items guests may want to bring with them for their stay visit:

a. Sunscreen
b. Insect repellant
c. Shampoo and conditioner
d. Soap
e. Extra toilet paper ( a roll is provided in each bathroom by BCV)
f. Paper towels
g. Charcoal, aluminum foil and lighter fluid
h. Antihistamine or other allergy medication)
